Bibliographers should follow these steps to make selections in GOBI. These steps may change slightly as the GOBI platform is upgraded and enhanced.

 

Do not place rush orders through GOBI. Send rush requests directly to htacq@tulane.edu. 

 

Selections

Please note that there are variations of these steps, which are acceptable to use, as long as you enter all order details and complete the Select Cart process. Also note that this is an automated process, and as such errors may be difficult to correct, so enter details carefully.

  • First, make sure that you see the Select Cart in the upper right corner of your screen. If the Select Cart does not show up, contact the Head of Acquisitions.
  • Once you locate a title/titles that you want to add to the collection, first check the library history link to see if the title is already owned by the library (or has been shipped to the library). This ensures that we do not get duplicates.
  • Next, click in the margin to the left of the title, which will highlight the title record.
  • For ebooks, click on the supplier and purchase option (must be done before moving to the Select Cart).
  • Move highlighted titles into the Select Cart by clicking on Add to Select Cart (center top). 
  • Once you have made all of your selections, go to the Select Cart (upper right hand corner). 
  • A red light will appear next to each title record.
  • Enter Order Details: You can enter order details by clicking on individual titles or selecting multiple titles that will have the same details. Then click on Enter Order Details (top center). Once the Order Details window opens:
    • You can select a template, if you use templates, or you can enter field data.
      • Required fields:
        • Subaccount: 7095-10 for firm orders or 7095-50 for ebooks
        • Fund Code
        • Location.
      • You can also enter:
        • Note to YBP - Only use this for intentional duplicates.
        • Note to Acquisitions - Should be used if you want additional details to be seen when the item is received.
        • Requestor - if we need to notify an individual when a book is received.
        • If you need to provide information for an order before it arrives, you should not enter the order in GOBI and send the order directly to the Acquisitions Unit Coordinator with your instructions. Order notes are not seen until after materials are received.
  • After you enter all order details, click on Save. (You can also click submit at this point and skip the next step.)
  • You will now see a green light next to the title records that contain complete/required order information, and you can Select All Green Lights.
  • At this point, the titles are now in a Selection area on the platform where Acquisitions can retrieve them.

 

Folders

You can still use folders if you like. We just will not pick them up, so you do not need to share them. For exceptions, contact the Acquisitions Unit Coordinator.

 

Select Cart

No one can see what is in your Select Cart. Once you enter order details, you will “select” green lights. This moves the record to a “selection” area (not a cart) where acquisitions staff retrieves the record and starts the order process.

 

Rush Orders

Do not send Rush orders through GOBI. Send all rush orders to the Acquisitions Unit Coordinator.

 

Out of Stock Titles

Titles that are out of stock with GOBI (shown in the US Status field) will be ordered from another vendor and the title will be blocked in GOBI. If an item is showing as “Not yet published” in GOBI, and it cannot be ordered from another vendor, you will be notified to resubmit the order once the title is published.
